In the fast-paced world of field sales, in-person meetings are where relationships are built and deals move forward. But unlike virtual calls, they rarely leave behind a neat digital footprint. Taking notes mid-conversation is clunky. Post-meeting follow-ups rely on memory. And by the time you're back in the car or onto the next meeting, key details might already be fading.

That’s why HubSpot introduced the In-Person AI Meeting Notetaker, a powerful new tool built to help reps stay fully present and keep accurate records of every in-person interaction.

 

What is the In-Person AI Meeting Notetaker?

Available now in private beta for iOS users with Sales Hub Professional or Enterprise, this feature lets reps use the HubSpot mobile app to record in-person sales conversations, automatically transcribe them in real time and generate polished AI-powered summaries that can be sent to meeting participants with a single tap.

No more scribbled notes. No more post-meeting admin. Just smarter selling. 

 

Why It Matters

Field sales reps know that what happens in person, stays in person–and that’s a problem. Without an online link or Zoom recording, there’s no transcript to reference, no auto-logged call and no follow-up summary magically showing up in HubSpot.

The In-Person AI Meeting Notetaker changes that. It gives reps:

  • Real-time transcription so they don’t miss a thing.
  • Automatic AI-generated summaries to review and send post-meeting.
  • Peace of mind around privacy - recordings are automatically deleted once summaries are created.
  • Freedom to focus on the conversation – no need to manage their CRM on the fly.

This feature bridges the analog-to-digital gap for mobile sellers, making every in-person meeting as trackable and actionable as a video call.

 

How It Works

Getting started is easy, but a few settings need to be enabled first:

1. In your HubSpot desktop portal, navigate to:

  • Settings > Calling > Call Setup > Call Configurations, then enable:
    • Call recording
    • Transcription and analysis
  • Settings > AI, then enable:
    • Give users access to generative AI tools and features
    • CRM data
    • Customer conversation data

2. Once enabled, use the HubSpot mobile app (iOS only) to initiate a voice capture (with consent).

3. HubSpot AI processes the audio to generate a meeting summary. You’ll be notified when it’s ready and can then email it to participants or copy it directly.

4. Important: No audio recordings are stored–only the AI-generated summary will remain.

You’ll see entry points to use this feature on scheduled in-person meeting pages, calendar events without online links and manually created Log Activity meetings. Summaries will be viewable on mobile and on the HubSpot desktop app.

Note: This feature uses Google’s Speech-to-Text technology. Participating in the beta means you agree to Google LLC processing the recording data.

Currently, the In-Person AI Meeting Notetaker is in private beta for:

  • iOS users
  • Sales Hub Professional and Enterprise seats

Just make sure your HubSpot mobile app is updated to the latest version to access it.
