HubSpot is cleaning up its backend database by changing how virtual meetings are logged. This update eliminates duplicate records, but it means you will need to audit your current workflows, reports and filters to ensure your automated processes don't break.
Starting July 31, 2026, HubSpot is simplifying how video meetings (from HubSpot Notetaker, Zoom, Google Meet and Microsoft Teams) are recorded. Currently, these syncs create both a Call record and a Meeting record. Moving forward, they will only create a Meeting record.
Note: The "Call" object isn't disappearing; it will still be used exclusively for actual phone call activities.
Eliminating duplicate data means your database remains clean, but it requires immediate attention if your operations rely on the old dual-record system. Because "Call" volume for video syncs will drop to zero after July 31, any dashboards, automated triggers or sales-tracking filters tied to Call objects for virtual meetings will stop capturing new data.
To prevent any disruptions, you need to transition your setups from Call-based logic to Meeting-based logic before the deadline. HubSpot is already adding essential properties (such as “has transcript”, “transcript ID” and “duration”) directly to the Meeting record to help you prepare.
This structural data update applies to all HubSpot hubs and tiers utilizing video conferencing integrations and the HubSpot Notetaker.
We love this because duplicate records are an operations nightmare. It never made sense for a single Zoom call to register as both a call and a meeting, artificially inflating activity metrics and confusing sales reps. Centralizing everything under a single, robust Meeting record makes CRM data cleaner, more accurate and significantly easier to report on.
This is a necessary step forward for data cleanliness, but it requires proactive maintenance. Treat the July 31 deadline seriously; spend some time auditing your workflows and reports this week so your automated sales and marketing pipelines don't miss a beat when the switch flips.
