New: Smarter HubSpot Workflows with AI-Generated Descriptions

Written by Antidote 71 | Jun 9, 2025 4:36:09 PM

If you’ve ever opened your HubSpot Workflows tab and thought, “Wait… what does this one do again?” you’re not alone.

At our agency, we develop numerous workflows for marketing automation, lead nurturing, sales follow-ups and service handoffs. And while those workflows are powerful, keeping track of what each one is designed to accomplish (especially across big, busy portals) can be a serious time sink.

That’s why we’re loving HubSpot’s latest AI feature: AI-Generated Workflow Descriptions.

What Is It?

HubSpot’s AI Assistant can now instantly interpret and summarize a workflow into a clear, concise description. That means you no longer must click through triggers and actions to remind yourself why a workflow was built.

It’s a small but awesome update that makes managing complex portals a whole lot easier, especially if you have multiple team members building and editing workflows.

Why It Matters for Marketing Teams

If you’ve worked inside a busy HubSpot portal, you know how quickly workflows multiply. From welcome sequences and re-engagement campaigns to lead routing and internal notifications, one portal can house dozens or even hundreds of active workflows. The problem?

Without clear documentation or naming conventions, it’s time-consuming (and sometimes risky) to figure out what a workflow does before making changes or troubleshooting an issue.

AI-Generated Workflow Descriptions fix that.

Now, you can:

  • Get instant summaries of workflow logic
  • Quickly scan your workflow index page for clarity
  • Spend less time opening and interpreting old workflows
  • Onboard new team members more efficiently
  • Standardize portal documentation at scale

In today’s fast-paced marketing world, clarity isn’t a luxury; it’s a necessity. And this feature helps deliver just that.

How It Works

Once this feature is available in your HubSpot portal (available for Pro and Enterprise tiers for Marketing, Sales, Service and Operations Hubs), here’s how to use it:

  1. In the Workflows Editor:
Click on the workflow name at the top to open the description field.
  2. In the Review & Publish Step:
Same spot–click the workflow name at the top of the page.
  3. From the Workflows Index Page:
Hover over a workflow’s name, click More > View Details and then click the workflow name toward the top left.

In any of these places, you’ll see a ‘Generate’ button next to the description field. Click it, and HubSpot’s AI Assistant will scan the workflow and drop in a clean, AI-generated description. You can edit it, delete it or click Re-generate for a different version.

Bonus: You can now view all workflow descriptions at a glance right from the Workflows index page. No more guessing what a workflow does before clicking in.

Important: To use this feature, make sure HubSpot AI for Customer Analysis is enabled under your AI Assistants settings.

Who Gets It?

This feature is available for:

  • Marketing Pro & Enterprise
  • Sales Pro & Enterprise
  • Service Pro & Enterprise
  • Operations Pro & Enterprise

If you’re in one of those tiers, this is your sign to turn on Customer Analysis in your AI Assistants settings and start streamlining your workflow management today.

Final Thoughts

As a HubSpot Platinum Partner agency, we’re always excited to see incremental updates like this. The kind that tackles real, everyday frustrations for marketing and sales teams.

AI-Generated Workflow Descriptions might not be flashy, but they’re a practical, time-saving tool that will help your team stay organized, aligned and efficient.
